SAP Credit Management – SAP Training March 2011 batch

In today’s SAP Training class, we have discussed SAP Credit Management, its different configuration options and here are some exercises to solve to understand those concepts better.

Question 1. Create a new Customer ( of SAP Customer Account Group -   001 ) in the sales area of your choice. Specify the SAP Customer Number
Question 2. Find out the SAP Credit Control Area that is associated with the Customer’s Organizational Structure
Question 3. Assign a Credit limit of 1,00,000 to the customer created in Q.1 above.
Question 4. Create a new SAP Sales Document Type ( as a copy of standard order type OR if possible )  and give the document type -Z019
Question 5. Set the Credit Management to the document type you created in Q.4 to Simple Credit Check. What are the different options available in Simple Credit Check ?
Question 6. Create a Sales Order for the Document type ( Created in Q.4 ) and the Customer ( Created in Q.1 ) for a material ( say M-01 ) for a value of 30,000. Specify the SAP Order Number
Question 7. What is the Credit Exposure for the Customer ?
Question 8. What percentage of the credit limit is used ?
Question 9. Create another order for the same customer and Order type – Only this time, create the order with a value of around 90,000 ( It does not need to be exactly 80,000 ).   What is the System Response ? Did the credit limit warning come up ?

Question 11. What percentage of the credit limit is used now ?
Question 12. Explain why the credit limit is not exceeded for Q.9 above even though the order value in Q.6 and Q.9 together exceeded the Credit Limit set by you in Q.3 ?
Question 13. This time create another order for the same customer and Order type – Only this time, create the order with a value of around 1,20,000 ( It does not need to be exactly 1,20,000 ).   What is the System Response ? Did the credit limit warning come up ?
Question 14. Explain in your own words difference between the system response for Q.9 vs Q.13 ?
Question 15. Delivery and Bill the Order you have created in Q.6. Make sure the Accounts are being posted to.
Question 16. Check the total receivables for the Customer. What is the value ?
Question 17. After performing Q.15 above, what is the new effective Credit limit for the Customer ?
Addendum 1 :
The following is advanced SAP Credit Management Exercises that talks about Automatic Credit Management. This exercise should only be done after completing the SAP Simple Credit Management Exercises listed above. 

Hint : If you get confused in the middle, always start with a new customer, set a credit limit to a fixed value say 100,000 and start the transactions from scratch. This eases the pain of understanding SAP Credit Management configuration a bit. :)

Question 18.  Repeat Q.1 through Q.4 specified in  and specify the answers.
Question 19. Create a new SAP Credit Group Zx and assign it to the new SAP Sales Document Type configuration you have created in Q.18
Question 20. This time set the Credit Management settings to Automatic
Question 21. Create a new Risk Category ( How to create a new Risk Category in SAP ? ) say Zxx and assign it to the Credit Control area you have chosen in Q.18 above.
Question 22. What are the 3 parameters used to determine Automatic Credit Control in SAP ?
Question 23. Specify the Automatic Credit Management settings to “Static” and specify the system reaction to Warning in case the limit exceeds. What configuration have you done to effect this ?
Question 24. Set the scenario in Q.23 to block the order in case of credit overage
Question 25. Create the following Sales Orders with the Customer and Order type you have crated in Q.18
-> Order 1 – 30,000 Value
-> Order 2 – 80,000 Value

What is the system reaction to the second order ? How is this different from SAP credit Management Reaction in Q.9 above ?
Question 26. Release the order from credit block for Order # 2 in Q.25 above. ( How to release an SAP Sales Order from Credit Block )

Addendum 2 :

The following exercise in on SAP Automatic Credit Management with Dynamic Credit Horizon. It’s a little tricky especially with testing it and understanding the Dynamic Credit Horizon.

Hint : Please try  not to do all the questions in this post the same day – especially Addendum 2. We are not responsible if you pull your hair out :)

Question 27. Create another Customer, a new Risk Category . Specify the same.
Question 28. For the data in Q.27, set the Credit limit to100,000, apply the newly created Risk Category to the Customer.
Question 29. In Automatic Credit Management, specify the configuration for the corresponding Credit Control Area, Risk Category and Credit Group  as follows

-Dynamic Credit Management with “Warning” as the system response
-the order should be blocked for credit in case the credit limit exceeds.
-The SAP Dynamic Credit horizon should be 2 months.

Specify the configuration you have done for the same.

** Watch out – Here comes the tricky part **

Question 30.  Create a new Sale order for a value of 50,000, set the delivery date 4 months out into the future. Specify the SAP Sales Order and the delivery date
Question 31. Create another Sales Order for a value of 50,000, set the delivery date 5 months out into the future. Specify the SAP Sales Order and the delivery date.
Question 32. Create another sales Order for a value of 30,000 – do NOT change the SAP system proposed delivery date. Specify the SAP Sales Order
Question 33. Specify the Credit Exposure for this customer and explain in your own words why it is so ?

    3. In FD32 assigned the credit limit to 100.000 EUR.
    4. ZST
    5. Set to Credit Check = ‘c’, got an error message that there is no need of credit group for simple credit check so removed the credit group.
    6. Order no is 14044
    7. Credit exposure is 3150000
    8. Exceeded by 20,000 Eur, about 15%
    9. Order no is 14046
    10. Exceeded 30.000,00 EUR
    13. Order no is 14052, exceeded by 10.000,00 EUR, and with that warning message it got saved.
    14. In both the orders got warning messages, that there is excess amount of credit.
    15. Getting an error message that “Sales order is blocked for delivery: Credit limits”

    Answer: Created another order 14015 without getting any system warning message, that means simple credit check is not checking any open and unbilled order value, it’s check only current order value against credit limit value.
    Question 10. What is the credit exposure for the Customer now?
    Answer: Credit exposure- 120,000 Euro

    Answer: Credit limit is used now-120%

    Answer: “Simple credit check” checks only order completed and billed + current order value, it’s not checking any open order value without billing.
    Ex-1st Order value 30,000 Euro so it’s less than 100000 Euro credit limit so order created.
    Ex- 2nd Order Value 90,000 Euro, still less than 100000 Euro credit limit so again order saved.

    Can you please check the order 14029 and tell me why am I getting the message ” The accounting document has not yet been created” on the billing?

      The customer 51 used in the order 14029 does NOT have the corresponding Company Code view defined. If you do not define the company code view in the customer master, the associated reconciliation account will be missing. Hence, the invoice could not be posted. The way I found it out is as follows.

      I opened the invoice in change mode ( VF02 ) and tried to post the invoice to accounts by clicking on the “Green Flag” as shown in the class. The error message that I got was sap invoice posting fails

      Then I checked out if the customer master had Company code data and it did NOT have.

    I have created Customer 80

    There are two orders 14018 and 14019 are created

    Del 80016493, 80016494

    After deliveries I am getting errors while doing PGI or trying to create Billing.

    Please clarify whats wrong.

    In Order1 and order 2 We created order for EUR 30000 and 90000 respectively but we didnt delivered it or billed it and not posted to account. so order 1 and order 2 has been gone through without warning. If we have billed order 1 and also posted to account then we would not able to create order 2.

    This is a kind of flaw in simple credit management

    Dynamic credit management = Open order+ open delivery+ Open billing+ Open item+ current order value+ horizon

    here horizon is for 2 months so any order beyond 2 month wont be considered . so first two orders are meant to deliver far out in future(4 & 5 months). it wont be considered in Dynamic credit management. Only order for 30000 eur would have been considered.

    Question 9. Create another order for the same customer and Order type – Only this time, create the order with a value of around 90,000 ( It does not need to be exactly 80,000 ). What is the System Response ? Did the credit limit warning come up ?
    Ans: No It created an order # 13658 for a value of 82,500 was accepted.

    Question 10. What is the credit exposure for the Customer now ?
    Ans: The Credit exposure of the customer is 112,500

    Question 11. What percentage of the credit limit is used now ?
    Ans: 112.5 %

    Question 12. Explain why the credit limit is not exceeded for Q.9 above even though the order value in Q.6 and Q.9 together exceeded the Credit Limit set by you in Q.3 ?
    Simple credit limit only checks the credit limit when the combined value of open items and the current order is above the credit limit. Here there is no open items as no delivery and no invoice was generate and sent to A/C hence the credit limit was never checked.

    Question 13. This time create another order for the same customer and Order type – Only this time, create the order with a value of around 1,20,000 ( It does not need to be exactly 1,20,000 ). What is the System Response ? Did the credit limit warning come up ?
    Ans: Yes the credit limit error came up saying that this order exceeded the limit by 12,500 and order did not go through.

    Question 14. Explain in your own words difference between the system response for Q.9 vs Q.13 ?
    Ans: In Q9 the sum of open items and current orders did not exceed the credit limit and hence the order went through. Here in Q13 the current order exceeded the credit limit and hence order did not go through. Also I have selected the simple credit check to B which means there will be an error and hence the order did not go through.

    Question 15. Delivery and Bill the Order you have created in Q.6. Make sure the Accounts are being posted to.
    ********Ans: Not able to Deliver as some issue with the scheduled lines.***********

    Can you please check in system for following customer static credit exercise.

    I created Cust 11000 in 1000/10/00 with 1000 company code
    Credit group – Z9
    Risk Category – ZSM
    I assigned credit group, risk cate and credit control area(1000) together.
    I set Order type ZO09 to static credit

    Finally, I created order for 25640- value 30000, 25641- value 80000, 25642-value 100000 so on, but i couldn’t get any messages for credit over limit or nothing.

    I spent 3 hours to figure out, i couldn’t find out.

    Please help out before systems wipe out all current data.

      I think you have created a new Customer Account Group. Everytime a new customer account group is created, the partner functions that should be associated with this customer account group should be done in SAP Partner Determination

    Customer is assigned to credit control area 1000. I validated this by checking both the assignment of the sales area to the CCA, and I also checked the assignment of the company code to the CCA.

    IMG -> Enterprise Structure -> Assignment -> Financial Accounting -> Assign Company Code to Credit Control Area.

    IMG -> Enterprise Structure -> Assignment -> Sales & Distribution -> Assign Sales Area to Credit Control Area.

    Question 3. Assign a Credit limit of 1,00,000 to the customer created in Q.1 above.

    I set the customers credit limit to 100,000.00 EUR using FD32 for customer 19106/credit control area 1000.

    The credit limit used percentage jumped to 274.77%. The receivables are $34,492.90, Sales value $238,277.15 (total of the net value for all the orders including the 2 open orders), credit exposure $274,770.05. Based on how simple credit would evaluate orders at generation, delivery, or PGI (considering only the current order and the unpaid invoices), then the effective credit would be $100,000.00 – $34,492.90.

    This is rather interesting. The actually credit checks that could potentially stop the shipment of merchandise that would take the customer over the credit limit is acting exactly like the description of “simple” credit. However, in the system as shown in FD32 accumulates open orders against the credit limit like static or dynamic.

    Is there configuration that will align the credit checks (whatever credit check method is decided on) with FD32 so that the percentage of credit reflects the risk as perceived now?

    I am not so much thinking of simple credit. I am thinking more about alignment of FD32 with either static or dynamic.

    An automatic credit control entry was added for Larry test 1 low risk (credit ctl area 1000, risk category ZLC, and document credit group ZL). It set the check type to static, the reaction to “A” (warning), check open orders yes, check open deliveries yes.

    I set the ZLC4 sales order document to “D” automatic credit control and assigned the document credit group ZL to it.

    Question 24. Set the scenario in Q.23 to block the order in case of credit overage.

    Using maintain automatic credit control I set on the credit block flag on for CCA 1000/Risk group ZLC/credit group ZL. Because credit group ZL is only assigned to order document type ZLC4 this should only sets on the block for the specific orders I will test with order type ZLC4.

    Path: IMG -> Sales and Distribution -> Basic Functions -> Credit Management/Risk management -> Credit Management -> Define Automatic Credit Control.

    I assigned the customer to risk category ZLC (FD32) and created a third order (15017). The system let me enter the order. However, when I saved the order a message was displayed saying the static credit limit had been exceeded.

    I then went back in and displayed the order status. The status of the order was “being processed”. The credit status was “not approved”. The overall block status was “blocked”.

    This differed from the simple credit test in that this time it considered the previously entered open orders (credit exposure – see FD32).

    Question 26. Release the order from credit block for Order # 2 in Q.25 above. ( How to release an SAP Sales Order from Credit Block )

    I used VKM3 to list and then release order 15017.
    Addendum 2 :

    The following exercise in on SAP Automatic Credit Management with Dynamic Credit Horizon. It’s a little tricky especially with testing it and understanding the Dynamic Credit Horizon.

    I created order 15066 for $9,900 (greater then the amount remaining for the customer’s credit limit) and a delivery date of November 10, 2011 (inside the horizon). The customer’s credit limit was exceeded, a warning message was issued, and the order was blocked as not approved.

    Solution: I am able to create the delivery document, but not able to make it through billing.

    Its warning me that “Dynamic Credit check has been exceeded” while creating the delivery document, but was able to create the delivery document. But, not letting me to issue Post Goods Issue. System saying “Dynamic Credit Check has been exceeded”.

    I wonder why dynamic credit check coming into the picture when simple credit check has been assigned to the sales order. I guess its coming from the deliver document type.

    Workaround: To make it through billing, I tried to change open orders of the customer to make it less than the credit limit, but still I had the same issue processing the documents.

    Then, I tried to delete the sales orders but could not do it as I already had subsequent deliver documents for all of those

    Now, I have to create new customer 9009, assign him the credit limit of 100,000, create a new sales order and process it. Succeeded this time.

    I was trying to use FD32 to set the credit limit for a newly created customer # 9999
    under company code 1000 ,sales area 1000,10,00.
    All the fields are greyed out except the horizon field.I checked for existing customers too and I cant set a credit limit.I get the message “No payment history was recorded till now”.
    Is it an access issue or I am missing something?Please help.

    : I am trying to bill this order 135132 But get a message in the log

    ‘Item Category TAN cannot be invoiced with billing
    type F2.’

    Cannot go forward here. Tried looking through the copy controls [based on notes etc] Itm Cate ‘TAN’ is not listed in Sales doc to bill doc copy controls. If this is the issue how can I fix it. I have already billed this order though. Please help.
    Also, did this happen because of any errors in my steps above.

      Can you please let me know how you are invoicing the order ?

      If you are using Sales Document -> Billing for a Physical Deliverable Item ( Which is the case in Order # 135132 ), then you are doing it wrong.
      Pick the Delivery #

      You need to go to VF01 and enter the delivery number associated with that Order # And use it to create the Invoice as shown below. Please let me know if you want me to do it for you VF01 Screen in SAP

    woukd you please give some hints/idea how to change data at this stage. Never done anything before. Meanwhile I tried creating another customer with new sold-to-party 0001 -ES. I thought I created sucessfully another customer # 1512. But when I tried to create S.O.# for Doc type ZO19 I got this msg: ” Company was not supplied in Function module interface” I am ready to pull my hair even before your addendum 2.
    but seriously what do need to do. Am I picking wrong sold- to- party account?

      This error is a FICO Cost Center error. I am not sure why this is happening ( We would have to consult a FICO consultant ) . I have created a customer for you 1021. Try it with that.

      Hit F8 button a couple of times. Somebody in the SAP ABAP Training is doing some enhancements and have set a hard break point. That is the reason for the issue you are facing.

    new document of type OR. I had already created 2 documnets of type OR
    (ZORN and ZORT). Instead of creating another new document, I decided
    to delete ZORN and recreate the same. After saving my changes, I am
    not able to find the document type OR.

      The sales Order # 14061 has been created in Company Code 1000. The associated CCA is 1000. I have seen FD32 for CCA 1000 and it is not set. So, although the credit exposure for the order is 11,811.. , the credit management did not kick in.

      Step No. 3, 4 and 5 are important to make that happen.

      I did not see Step No.3 set. Also, Step No. 4 is correct, but Step No. 5 is set to automatic credit control ( As opposed to Simple Credit check which the scenario asks for ).

      If you really intended to do automatic credit control, you would also have to do a bunch of other steps like setting up Risk Category and Risk Group etc.

When I went back to FD32 it showed horizon as 7/23/2011 since I had order worth of $40,000 for that period it showed a exposure of only 40%

    The following exercise in on SAP Automatic Credit Management with Dynamic Credit Horizon. It’s a little tricky especially with testing it and understanding the Dynamic
    Credit Horizon.
    Hint : Please try not to do all the questions in this post the same day – especially Addendum 2. We are not responsible if you pull your hair out

    Question 27. Create another Customer, a new Risk Category . Specify the same.
    Ans: Created customer ABCDEF and using risk category A

    Question 28. For the data in Q.27, set the Credit limit to 100,000, apply the newly created Risk Category to the Customer.
    Ans. Done using FD32

    Question 29. In Automatic Credit Management, specify the configuration for the corresponding Credit Control Area, Risk Category and Credit Group as follows
    -Dynamic Credit Management with “Warning” as the system response
    -the order should be blocked for credit in case the credit limit exceeds.
    -The SAP Dynamic Credit horizon should be 2 months.
    Specify the configuration you have done for the same.
    Ans.
    _ Using Transaction OVA8, Selected Dynamic Check, reaction selected as A (Warning)
    _ Selected Status/ Block for Dynamic Check
    _ Assigned Horizon 2 Months

    ** Watch out – Here comes the tricky part **
    Question 30. Create a new Sale order for a value of 50,000, set the delivery date 4 months out into the future. Specify the SAP Sales Order and the delivery date.
    Ans. Created sales order 16209 of value 54,320 and the delivery date is 30/07/2011

    Question 31. Create another Sales Order for a value of 50,000, set the delivery date 5 months out into the future. Specify the SAP Sales Order and the delivery date.
    Ans. Created sales order 16210 of value 54,320 and the delivery date is 30/08/2011

    Question 32. Create another sales Order for a value of 30,000 – do NOT change the SAP system proposed delivery date. Specify the SAP Sales Order.
    Ans. Created sales order 16211 of value 38,800 and the delivery date is 08/04/2011

    Question 33. Specify the Credit Exposure for this customer and explain in your own words why it is so ?
    Ans. The credit exposure is 38,800. In dynamic Credit check, the orders with delivery date are after dynamic credit horizon are excluded from credit check.

    Sir,

    Static Credit management is not working. Please see the configuration once.

    Created customer 59993 for company code 0001 and sales area 1000 10 00 and assigned credit limit of 100,000
    Created sales document type Z070
    I have configured static credit management setting using transaction OVA8 but when i am trying to create sales order credit management is not working, system is allowing me to create order even if the credit limit is crossed without any warning.

    Please see to it.

      Vikas,
      Please do NOT create any master data in company code 0001. This is a test system and does not have any negative effects, but as a matter of practice, this might spill over to live SAP systems as well.

      Now coming to the question, you have created a customer 59993 , and sales doc type Z070 ( assigned it to credit group Z9 ) and made Z070 with Automatic Credit Control ‘D’ .

      You have also configured the Dynamic Credit control correctly

      !000 + 001 + Z9 has been set to Static Credit Check. Perfect

      Configuration wise you are all set.

      I see that you have created 2 orders for the customer ( Using VA05 )

      16196
      16195

      and they have exceeded the credit limit by quite a margin.

      Now, even though the Open Orders and Open Deliveries have exceeded the credit limit by quite a bit, you still don’t see the Credit Check error.

      This is happening because of one small config issue. The checkboxes ( Open Orders and Open Deliveries ) have not been checked on for the combination of the SAP Credit Control area + Risk Category + Credit Group in question.

        Sir,

        Its still not working.

        Created another customer 59994 for company code 1000 and sales area 1000 10 00 and assigned credit limit of 100,000
        using sales document type Z070 assigned credit group Z6 to it..configured static credit management setting using transaction OVA8 but when i am trying to create sales order credit management is not working, system is allowing me to create order even if the credit limit is crossed without any warning.

        Please see to it.

          There is no risk category assigned to the Customer 59994 ?
          Check out FD32 for that customer in CC Area 1000
          SAP Risk CAtegory not assigned

            I have assigned a Risk category of 001 in FD32 and its working now. Check out the SAP Sales order i have created in the system – 16206

      Q.15 is a little tricky. The invoice is not being able to be posted to accounts because of issues with Account Determination.

      This could happen because of a variety of reasons including Account determination issues on our side or on condition Type COPA parameters on SAP FICO side.
      SAP Account Determination Error

      In this case the answer is an issue with SAP Account Determination. You can view this by opening the invoice ( VF02 ) and clicking on Environment -> Acct. Determination Analysis -> Revenue Accounts. The particular SAP Billing document in question 90036957 had VKOA issues. Please fix it first before posting to accounts.
      No Access Sequence found for SAP Account Determination
      If you need help with it, please let me know.

    Ans. Credit limit is not exceeded because the order value is less than Credit limit for every single order.

    13. This time create another order for the same customer and Order type – Only this time, create the order with a value of around 1,20,000 ( It does not need to be exactly 1,20,000 ). What is the System Response ? Did the credit limit warning come up ?
    Ans. It gives the Warning as “The Credit limit has been exceeded by 16400 EUR” and the order 16178 has been created and delivery is blocked.

    14. Explain in your own words difference between the system response for Q.9 vs Q.13 ?
    Ans. A Credit limit exceeded warning was given for Q.13 and there was no warning for Q.9.

    15. Delivery and Bill the Order you have created in Q.6. Make sure the Accounts are being posted to.
    Ans. Earlier I was not able to create delivery, so created Transfer Order and then created delivery 80016011.

    But during PGI got the error as “”Deficit of SL Unrestricted-use 7.945 PC”
